Privacy Policy
1. Information We Collect
We collect information you provide when registering or using Goalpen, including:
- Account information (name, email address)
- Content you create within the app (goals, tasks, notes, channels)
- Connected third-party integrations you authorise (Google Drive, Google Calendar, Microsoft 365, etc.)
- Usage data and logs to improve service quality
2. How We Use Your Information
- To provide, maintain, and improve Goalpen services
- To process payments and manage subscriptions via Stripe
- To send transactional emails (account verification, billing notices)
- To provide AI-powered features (SuperAgent, Ask AI, Task Advisor, AI Summary) —your content is sent to Google Gemini API and is subject to Google’s data processing terms
- To comply with legal obligations
3. Third-Party Services
Goalpen integrates with the following third-party services. Each has its own privacy policy:
- Google —OAuth, Drive, Calendar, Tasks, Gemini AI
- Microsoft —OAuth, OneDrive, Outlook Calendar, To Do
- Stripe —Payment processing
- Firebase / Google Cloud —Hosting, database, authentication
4. Data Storage and Security
On standard plans, your data is stored in Google Firebase (Firestore and Cloud Storage) hosted in the US. We use Firebase Authentication, HTTPS encryption in transit, encryption at rest, and Firebase Secret Manager for credentials. Workspaces are isolated per organisation. We do not sell your personal data to third parties.
Customers on Private Cloud store data in their own Firebase / Google Cloud project and region. See Pricing and Services for deployment options.
5. Data Retention and Deletion
Workspace admins may delete their workspace from Usage → Upgrade Plan (export first, then typed confirmation). Upon deletion, organisation data for that Cus ID is removed from active systems. Backup and log retention may extend up to 90 days. Private Cloud and Enterprise deletions are assisted —contact hello@goalpen.com.
5a. Cancel subscription vs delete workspace
- Cancel subscription stops future billing. Your workspace and data remain; paid access continues until the end of the current billing period, then the plan returns to Free.
- Delete workspace permanently removes data for that organisation (Cus ID). This is separate from cancelling billing and cannot be undone.
- Cancelling does not delete your workspace. Deleting a workspace also stops marketing email to member addresses associated with that workspace.
6. Cookies
Goalpen uses session cookies required for authentication and analytics cookies (Google Analytics) to understand usage patterns. You can disable analytics cookies via your browser settings.
7. Your Rights
Depending on your location, you may have rights to access, correct, or delete your personal data. To submit a request, contact us at hello@goalpen.com.
Terms of Service
1. Acceptance of Terms
By creating a Goalpen account or using our services, you agree to these Terms. If you do not agree, do not use Goalpen.
2. Account Responsibilities
- You are responsible for maintaining the security of your account credentials
- You must not use Goalpen for unlawful activities
- You must not attempt to circumvent subscription limits or AI usage quotas
3. Subscription Plans and Billing
Goalpen offers Free, Team, and Business subscription plans, as well as Private Cloud and Enterprise options. Paid plans are billed monthly or annually via Stripe. You may cancel at any time from Usage (Stripe customer portal); your access continues until the end of the billing period. Cancelling billing is not the same as deleting your workspace. Refunds are issued at our discretion for billing errors.
AI action quotas (e.g., 500 AI actions/user/month on Team) reset at the start of each calendar month. Unused quotas do not carry over.
4. Intellectual Property
You retain ownership of the content you create in Goalpen. You grant Goalpen a limited licence to store, process, and display your content solely to provide the service. Goalpen’s software, branding, and AI models remain our property.
5. Limitation of Liability
Goalpen is provided “as is”. We are not liable for any indirect, incidental, or consequential damages arising from use of the service. Our total liability to you shall not exceed the amount you paid us in the three months preceding the claim.
6. Service Availability
We aim for high availability but do not guarantee uninterrupted service. Scheduled maintenance and unexpected downtime may occur. We are not liable for losses resulting from service interruptions.
7. Governing Law
These Terms are governed by the laws of Hong Kong SAR. Disputes shall be resolved in the courts of Hong Kong SAR.
8. Changes to These Terms
We may update these Terms from time to time. We will notify you of material changes by email or an in-app notice. Continued use of Goalpen after changes constitutes acceptance.
